How to add a parent, coach, or staff member without a real email yet

Sometimes you don't have a parent's or staff member's real email when you're setting them up — you only have their name (and maybe a phone number). You don't need to invent a fake-looking email to get past the form.

Leave the Email and Password fields blank

On Add Parent, Add Coach, and Add Staff (and the equivalent columns in the Bulk Import Excel template for Trainee/Member/Parent/Coach/Staff):

1. Fill in the name (and any other fields you have)
2. Leave Email blank
3. Leave Password blank too, unless you want to set one yourself (see below)
4. Save / Import as normal

AAU Club Manager auto-generates a placeholder email (like ahmad-a1b2@yourclub-temp.com) and, if you also left Password blank, a random password. The account is fully created and usable by staff/admin immediately — you just can't email that person anything until they fix it.

Important: don't type a fake email yourself

Typing something like ahmad@ahmad.com or noemail@gmail.com into the Email field is not the same as leaving it blank. If you type anything, the system treats it as a real, permanent email — there's no way for it to know it's fake. That account will never be flagged for setup and can never receive a password reset. Always leave the field genuinely empty if you don't have a real address.

How the person actually logs in the first time

Since the password is also randomly generated if left blank, nobody knows it — including you. Two ways to hand them a working login:

• Recommended: when creating them, leave Email blank but type a password you choose (e.g. Welcome2026). Look up their auto-generated temp email afterward from the Users list (superadmin) or their profile page, and tell them both the temp email and the password you set — in person, by WhatsApp, however you reach them.
• Or leave both blank, then look up the auto-generated email and reset their password yourself from their profile page before telling them how to log in.

What happens when they log in

The moment a temp-email account logs in — with any role, from any page — they're immediately redirected to a "Set Up Your Account" screen before they can do anything else. They enter their real email and choose their own new password right there. No email needs to be sent or received for this step; it works purely because they're already logged in.

Once they save it: - Their real email replaces the temporary one - Their new password replaces whatever was set before - From then on, they log in normally with their real email — "Forgot Password" and the magic-login link both work correctly from this point forward, since the email is now real

Where to check who's still on a temp email

• Users list (superadmin, filtered by club) shows a "no login" style indicator is for trainees without an account — for parent/coach/staff accounts on a placeholder email, the email column itself will show the ...-temp.com address until they complete setup.

Cara tambah ibu bapa, jurulatih, atau staff tanpa email sebenar

Kadang-kadang anda tak ada email sebenar ibu bapa atau staff semasa daftar — hanya ada nama (dan mungkin nombor telefon). Anda tak perlu reka email palsu untuk lepas borang.

Biarkan medan Email dan Password kosong

Pada Add Parent, Add Coach, Add Staff (dan kolum sama dalam template Excel Bulk Import):

1. Isi nama (dan medan lain yang ada)
2. Biarkan Email kosong
3. Biarkan Password kosong juga, melainkan anda mahu set sendiri
4. Save / Import seperti biasa

Sistem akan auto-jana email sementara (contoh ahmad-a1b2@kelabanda-temp.com) dan, jika Password juga kosong, kata laluan rawak. Akaun terus siap digunakan oleh admin/staff — cuma tidak boleh dihubungi melalui email sehingga dibetulkan.

Penting: jangan taip email palsu sendiri

Menaip sesuatu seperti ahmad@ahmad.com bukan sama dengan biarkan kosong. Jika ditaip apa-apa, sistem anggap ia email sebenar dan kekal selamanya — akaun itu tidak akan diminta untuk setup dan tidak boleh terima link reset password. Sentiasa biarkan medan itu benar-benar kosong jika tiada email sebenar.

Bagaimana mereka log masuk kali pertama

Oleh kerana kata laluan juga rawak jika dibiarkan kosong, tiada siapa tahu kata laluan itu — termasuk anda. Dua cara:

• Disyorkan: semasa daftar, biarkan Email kosong tetapi taip kata laluan pilihan anda sendiri. Selepas itu, cari email sementara mereka dari senarai Users (superadmin) atau halaman profil, dan beritahu mereka email sementara + kata laluan yang anda set — secara peribadi, WhatsApp, dan sebagainya.
• Atau biarkan kedua-duanya kosong, kemudian cari email sementara dan set semula kata laluan mereka sendiri dari halaman profil sebelum memberitahu mereka cara log masuk.

Apa berlaku bila mereka log masuk

Sebaik sahaja akaun email-sementara log masuk, mereka terus dihalakan ke skrin "Set Up Your Account" sebelum boleh buat apa-apa lagi. Mereka masukkan email sebenar dan kata laluan baru terus di situ — tiada email perlu dihantar untuk langkah ini.

Selepas simpan: - Email sebenar menggantikan email sementara - Kata laluan baru menggantikan yang lama - Selepas itu, mereka log masuk seperti biasa — "Forgot Password" dan magic-login link kedua-duanya berfungsi betul dari titik ini kerana email kini sebenar.
