How to remove duplicate certificates

Duplicates happen when: - Bulk generation ran twice (e.g. cron retry after a partial failure) - Manual issuance created a certificate that already existed for that trainee + template - Data import from another system introduced duplicates

Find duplicates

1. Sidebar → Certificates → Deduplicate (/certificates/deduplicate/)
2. AAU Club Manager scans for potential duplicates using: - Same recipient - Same template - Same purpose (Attendance / Recognition / Tournament) - Same reference period (e.g. same tournament, same attendance date range)
3. Groups them into pairs / clusters with details of each

Review

For each duplicate group: - See both/all certificates side by side - Compare issue date, PDF content - Decide which to keep (usually the earliest issued)

Resolve

• Keep the primary → Delete Others — AAU Club Manager deletes duplicates, keeps the primary intact
• Or Merge Notifications — keeps the earliest, but merges all notification history under it

Bulk resolve

For obvious duplicates (e.g. all issued within seconds of each other from a botched cron): - Filter by date range → Bulk Keep Earliest, Delete Rest - AAU Club Manager keeps the earliest certificate in each group; deletes the rest - Confirm the count before applying

Prevention

• Certificate → Settings → toggle Prevent duplicate certificates → AAU Club Manager blocks new certificates that match an existing recipient + template + purpose + period
• On by default for most clubs — turn off only if you have a genuine reason (e.g. re-issue after design change should count as a new cert)

Audit

• Every deduplication logged with:
• Which certificate was kept
• Which were deleted
• When + by whom
• The reason match (recipient, template, period)

Access: Certificates → Audit Log.

Cari

Menu sisi → Certificates → Deduplicate — AAU Club Manager scan berdasarkan penerima + template + purpose + period.

Review

Setiap group: lihat side by side, pilih mana keep (biasanya paling awal).

Resolve

• Keep primary → Delete Others
• Merge Notifications — keep paling awal, gabung history notifikasi

Bulk

Filter → Bulk Keep Earliest, Delete Rest.

Prevent

Settings → Prevent duplicate certificates — block cipta yang sama recipient + template + purpose + period.

Audit

Certificates → Audit Log.
