How to buy and manage WhatsApp message credits

WhatsApp messages cost money (Meta charges for every WhatsApp message), so clubs pay for them with prepaid message credits. App notifications (push) and emails stay free. There are no free credits.

For club admins: check your balance and top up

  1. Go to People → Messages → Message Credits (/notifications/messages/credits/).
  2. The top card shows your Balance in RM. The Price per WhatsApp message card shows what each message costs: - Important (fees, sessions, reminders): RM0.10 per message by default. - News and promotions: RM0.45 per message by default. - Example: a reminder to 100 parents costs 100 × RM0.10 = RM10.
  3. Under Top up, choose a credit pack (RM20, RM50 or RM100) and tap Buy.
  4. Pay on Billplz by FPX online banking, card or DuitNow QR. A small processing fee may be added.
  5. You come back to the Message Credits page. The credits are added as soon as the payment goes through. If you paid but the balance has not changed, wait a few minutes; the page shows "top-up is waiting for payment" until Billplz confirms.

History lists every top-up, every batch of messages sent and any change made by AAU. Credits do not expire.

Low balance alert

When your balance falls below RM5 (set by AAU), you get an app notification and an email: "Message credits running low". When the balance is used up you get "Message credits used up", and WhatsApp messages stop until you top up. App notifications and emails still go out.

For superadmin: prices and adding credits by hand

  1. Go to Management → Messages → Message Credit Prices (/notifications/messages/credits/admin/).
  2. Under Prices, set: - Important message (RM) and News / promotion (RM): what clubs pay for each WhatsApp message. - Credit packs (RM): the packs clubs can buy, separated by commas (for example 20, 50, 100). - Low balance alert below (RM): when clubs get the low balance alert. - Own WhatsApp API monthly fee (RM): for clubs that connect their own WhatsApp number (coming later). - Untick Clubs can buy message credits to close online top-up.
  3. Tap Save prices. New prices apply to the next messages sent.
  4. Add or remove credits: choose the club, enter the amount (use a minus amount to take credits away) and a note, then Apply. Use this when a club pays by bank transfer. The club sees the note in its history.
  5. Club balances and Recent top-ups show every club's balance and the latest pack payments.

Online top-up uses the AAU Billplz account set in Payment Gateways. If Billplz is off, clubs see "Contact AAU to add credits".

Admin kelab dan superadmin

Mesej WhatsApp ada kos (Meta mengenakan bayaran untuk setiap mesej WhatsApp), jadi kelab membayarnya dengan kredit mesej prabayar. Notifikasi aplikasi (push) dan e-mel kekal percuma. Tiada kredit percuma.

Untuk admin kelab: semak baki dan tambah nilai (top up)

  1. Pergi ke People → Messages → Kredit Mesej (/notifications/messages/credits/).
  2. Kad atas menunjukkan Baki anda dalam RM. Kad Harga setiap mesej WhatsApp menunjukkan kos setiap mesej: - Penting (yuran, sesi, peringatan): RM0.10 setiap mesej secara lalai. - Berita dan promosi: RM0.45 setiap mesej secara lalai. - Contoh: peringatan kepada 100 ibu bapa berharga 100 × RM0.10 = RM10.
  3. Di bawah Tambah nilai, pilih pek kredit (RM20, RM50 atau RM100) dan tekan Beli.
  4. Bayar di Billplz melalui perbankan dalam talian FPX, kad atau DuitNow QR. Caj pemprosesan kecil mungkin ditambah.
  5. Anda kembali ke halaman Kredit Mesej. Kredit ditambah sebaik sahaja bayaran berjaya. Jika sudah bayar tetapi baki belum berubah, tunggu beberapa minit; halaman menunjukkan "tambah nilai sedang menunggu bayaran" sehingga Billplz mengesahkan.

Sejarah menyenaraikan setiap tambah nilai, setiap kumpulan mesej yang dihantar dan sebarang pelarasan oleh AAU. Kredit tidak luput.

Amaran baki rendah

Apabila baki jatuh di bawah RM5 (ditetapkan oleh AAU), anda menerima notifikasi aplikasi dan e-mel: "Kredit mesej hampir habis". Apabila baki habis, anda menerima "Kredit mesej sudah habis" dan mesej WhatsApp berhenti sehingga anda tambah nilai. Notifikasi aplikasi dan e-mel masih dihantar.

Untuk superadmin: harga dan tambah kredit secara manual

  1. Pergi ke Management → Messages → Harga Kredit Mesej (/notifications/messages/credits/admin/).
  2. Di bawah Harga, tetapkan: - Mesej penting (RM) dan Berita / promosi (RM): bayaran kelab untuk setiap mesej WhatsApp. - Pek kredit (RM): pek yang boleh dibeli kelab, dipisahkan dengan koma (contohnya 20, 50, 100). - Amaran baki rendah di bawah (RM): bila kelab menerima amaran baki rendah. - Yuran bulanan WhatsApp API sendiri (RM): untuk kelab yang menyambung nombor WhatsApp sendiri (akan datang). - Nyahtanda Kelab boleh membeli kredit mesej untuk menutup tambah nilai dalam talian.
  3. Tekan Simpan harga. Harga baharu digunakan untuk mesej seterusnya.
  4. Tambah atau tolak kredit: pilih kelab, masukkan jumlah (guna jumlah tolak untuk mengurangkan kredit) dan nota, kemudian Apply. Guna ini apabila kelab membayar melalui pindahan bank. Kelab melihat nota dalam sejarahnya.
  5. Baki kelab dan Tambah nilai terkini menunjukkan baki setiap kelab dan bayaran pek terkini.

Tambah nilai dalam talian menggunakan akaun Billplz AAU dalam Payment Gateways. Jika Billplz dimatikan, kelab melihat "Hubungi AAU untuk menambah kredit".
