Network fees: bill every player from the HQ

An HQ can charge a fee to every player in the clubs under it, for example a national association's yearly player licence (RM50 a year to play in endorsed tournaments), an insurance levy or a one-off registration fee. You decide the fee: its name, amount, how often and who pays.

The HQ bills each player itself:

• One invoice per player, from the HQ, numbered by the HQ and paid into the HQ's own payment gateway or bank account. The player's club doesn't collect or pass on the money.
• Sent to the parent (family account) when the player has one, otherwise to the player directly, by email and in the app. They pay it from My Invoices like any other invoice.
• Once per player: a player in two clubs of your network, or listed twice with the same IC number, gets one invoice. For a yearly fee, once per year.
• Works at any depth: national HQ → state associations → clubs.

Clubs must allow it first

A club's players are billed only while that club allows it (privacy / PDPA). Each club admin goes to Network → Linked Clubs → Your HQ, and checks Let our HQ bill fees to our players. It is ticked by default (also for clubs linked before this option existed), so a club that does not want its HQ to bill its players unticks it and clicks Save.

• A club that allows its state association also allows the national HQ above it.
• Your HQ sees each player's name and the payer's email and phone, only to send the invoice.
• Network → Network Fees shows the HQ which clubs allowed it and which haven't yet.

Create a fee

1. Sidebar → Network → Network Fees (/network/fees/) → New fee
2. Fee name, e.g. Player Licence
3. Description (optional, printed on the invoice), e.g. Required for SRAM-endorsed tournaments
4. Amount (RM)
5. How often: Every year (billed once a year, shown as "Player Licence 2027") or Once only
6. Who pays: trainees and members, trainees only, or members only
7. Also bill our own club's players: untick if the HQ's own players don't pay
8. Save

You can create as many fees as you need.

Bill the players

1. Open the fee. For a yearly fee, pick the Year at the top.
2. Check By club: players, paid, unpaid and not billed yet for each club.
3. Under Bill players, choose the Due date and click Bill N players.
4. Invoices are raised and sent in the background. Refresh the page after a minute to see them. You get a notification when it's done.

New players who join later show as Not billed yet. Open the fee again and click Bill to send just those. Players already billed are never billed twice.

Turn on an online payment gateway (Billing Settings) so parents can pay by FPX or card. Without one they can only pay you by bank transfer or QR.

Who has paid

• On the fee page, the Players list shows each player's club, invoice and status: Paid, Unpaid, Not billed yet or Cancelled. Search by name or club and filter by status.
• A paid player gets a green Player Licence 2027 badge on their profile.
• To waive or cancel one player's fee, open their invoice (Billing → Invoices) and waive or cancel it. A cancelled invoice is not sent again.
• Turn off stops a fee from being billed; invoices already sent stay.

For clubs under an HQ

Network → Network Fees → See who has paid (/network/fees/from-hq/) lists your players' fees from your HQ and whether each one is paid, so you can remind parents. You don't collect the money.

Blocking tournament entry for players without a licence is not available yet.

Admin Kelab (HQ)

HQ boleh mengenakan yuran kepada semua pemain dalam kelab di bawahnya, contohnya lesen pemain tahunan persatuan kebangsaan (RM50 setahun untuk menyertai kejohanan yang diiktiraf), levi insurans atau yuran pendaftaran sekali sahaja. Anda tentukan nama yuran, jumlah, kekerapan dan siapa yang bayar.

HQ sendiri yang mengebil setiap pemain:

• Satu invois setiap pemain, daripada HQ, dibayar terus ke gerbang pembayaran atau akaun bank HQ. Kelab pemain tidak mengutip wang.
• Dihantar kepada ibu bapa (akaun keluarga) jika ada, jika tidak terus kepada pemain, melalui emel dan aplikasi. Mereka bayar di My Invoices.
• Sekali setiap pemain: pemain dalam dua kelab, atau yang disenaraikan dua kali dengan nombor IC yang sama, hanya dapat satu invois. Untuk yuran tahunan, sekali setahun.
• Berfungsi di semua peringkat: HQ kebangsaan → persatuan negeri → kelab.

Kelab mesti benarkan dahulu

Pemain sesebuah kelab hanya dibil jika kelab itu membenarkannya (PDPA). Pilihan Let our HQ bill fees to our players di Network → Linked Clubs → Your HQ bertanda secara lalai (termasuk kelab yang dipautkan sebelum pilihan ini wujud). Kelab yang tidak mahu HQ mengebil pemainnya boleh nyahtanda, kemudian Save. Kelab yang membenarkan persatuan negeri juga membenarkan HQ kebangsaan di atasnya.

Cipta yuran

1. Menu sisi → Network → Network Fees (/network/fees/) → New fee
2. Isi Fee name (contoh Lesen Pemain), Amount (RM), How often (Every year / Once only), Who pays, dan Also bill our own club's players → Save

Bil pemain

1. Buka yuran itu. Untuk yuran tahunan, pilih Year.
2. Pilih Due date (tarikh akhir bayaran) → Bill N players. Invois dihantar di latar belakang; muat semula halaman selepas seminit.
3. Pemain baharu yang masuk kemudian tertera Not billed yet. Tekan Bill sekali lagi untuk mereka sahaja. Pemain yang sudah dibil tidak akan dibil dua kali.

Siapa sudah bayar

• Senarai Players menunjukkan kelab, invois dan status setiap pemain: Paid (sudah bayar), Unpaid (belum bayar), Not billed yet atau Cancelled.
• Pemain yang sudah bayar dapat lencana hijau Lesen Pemain 2027 di profil mereka.
• Untuk kecualikan atau batalkan yuran seorang pemain, buka invoisnya dan waive atau cancel.
• Kelab di bawah HQ: Network → Network Fees → See who has paid (/network/fees/from-hq/) untuk lihat pemain mana yang belum bayar.

Sekatan penyertaan kejohanan bagi pemain tanpa lesen belum tersedia.
