How private session invoicing works

Private sessions are pay-per-session, not covered by monthly fees. Each booking generates its own invoice.

Auto-invoice on booking

When a parent (or admin) books a private session:

  1. Booking submitted → AAU Club Manager creates an invoice with: - Fee amount from the coach's private-session rate - Line item: Private session with <coach> on <date> - Due date: immediate (or per your club policy)
  2. Parent receives email with invoice + payment link

Booking not confirmed until paid

By default, private sessions require payment before confirmation: - Status = Pending Payment until invoice paid - Coach's calendar shows a soft-hold on the slot - If parent doesn't pay within X hours (default 24), slot is released and someone else can book

Configure per club

Sidebar → Club Settings → Attendance → Private Sessions: - Require payment upfront — on/off. If off, booking confirmed immediately; parent pays after. - Payment deadline — hours from booking to pay (default 24) - Auto-release — if unpaid past deadline, release slot

Manually issue an invoice

For special arrangements (e.g. bundle discount, promo pricing):

  1. Sidebar → Attendance → Private Sessions → open booking
  2. Click Issue Invoice → opens invoice create with pre-filled details
  3. Adjust amount, add discount, or split into installments
  4. Save

Skip invoice (comp)

For sessions you're not charging for (VIP, trial, promo):

  1. Booking → Skip Invoice
  2. Enter reason for audit
  3. Session confirmed without any invoice created

Cancellation refund

Configure the refund policy in Club Settings → Attendance → Private Sessions → Cancellation policy.

Cara invois sesi peribadi

Auto

Booking → invois auto-jana dengan: - Amaun dari kadar coach - Line item: Private session with <coach> on <date> - Due date: segera atau ikut polisi

Parent dapat email + link bayar.

Belum confirm sehingga bayar

Default: Pending Payment. Slot dilepaskan jika tak bayar dalam 24 jam (default).

Config

Club Settings → Attendance → Private Sessions: - Require payment upfront - Payment deadline (default 24 jam) - Auto-release

Issue manual

Bundle / promo → Issue Invoice → adjust amount → Save.

Skip invoice

VIP / trial → Skip Invoice + sebab.

Refund cancel

Config di Cancellation policy.
