How to sell session packs (stamp cards)

A session pack is a prepaid stamp card, for example 4 sessions for RM250. Each session the trainee attends adds one stamp. When the card is full, the parent buys a new one. Find it under Billing → Session Packs (/packs/).

Set up a pack

1. Open Billing → Session Packs, click Packs, then New Pack (/packs/plans/).
2. Enter the name, price and number of sessions.
3. Valid for (days): how long the card lasts from the day it starts. Leave it empty if the card should only end when every session is used.
4. Sessions that use a stamp: tick the categories whose sessions count. Leave all unticked so every session counts. Private sessions never use a stamp.
5. Choose the stamp rules: - A no-show (Absent) uses a stamp: off by default. Excused absences and sessions the club cancels never use a stamp. - When a trainee comes with no sessions left: record the session as owed (the next card pays for it first), or let it go. - Stop self check-in when there are no sessions left: QR, kiosk and app check-in ask them to buy a new pack. Coaches can always mark a trainee present.
6. Save. Turn Parents and members can buy it online off if only you sell it.

Put pack trainees in their own category and leave that category out of your monthly fee, so nobody pays twice. Per-session fees never charge a session that a pack pays for.

Sell a pack at the counter

Click Sell a Pack (/packs/sell/), choose the trainee and the pack, then Create invoice. Record the payment on the invoice as usual. The card starts once the payment is verified. Parents who buy online pay the invoice with any payment method your club offers, and the card starts by itself.

If a card is still running when a new one is bought, the new card waits and starts when the old one is full or expires.

Look after the cards

The cards page lists active cards, cards waiting for payment, owed sessions and cards expiring within 7 days. Open a card to:

• Add a stamp by hand (for example, attendance was not marked). A stamp from attendance is given back by changing the attendance, for example to Excused.
• Change the expiry date (for example, the trainee was sick).
• Cancel the card. Its stamped sessions become owed.
• Stop pack training on a finished card, when the trainee will not buy again, so their sessions are no longer recorded as owed.

Every change asks for a reason and is listed on the card.

Coaches see a small badge next to pack trainees on the session page: 3 left, Last one or No sessions left.

Cara menjual pakej sesi (kad cop)

1. Buka Bil → Pakej Sesi (/packs/), klik Pakej, kemudian Pakej Baharu.
2. Masukkan nama, harga dan bilangan sesi, contohnya 4 sesi untuk RM250. Sah selama (hari) boleh dibiarkan kosong supaya kad luput hanya apabila semua sesi digunakan.
3. Pilih kategori sesi yang menggunakan cop, dan peraturan cop: sama ada tidak hadir menggunakan cop, apa berlaku apabila tiada baki sesi (tertunggak atau dilepaskan), dan sama ada daftar masuk sendiri dihentikan.
4. Setiap sesi yang dihadiri (Hadir atau Lewat) menambah satu cop. Ketidakhadiran bermaaf, sesi persendirian dan sesi yang dibatalkan kelab tidak menggunakan cop.
5. Untuk menjual di kaunter, klik Jual Pakej (/packs/sell/). Invois dicipta dan kad bermula apabila bayaran disahkan. Ibu bapa juga boleh membeli dalam talian.
6. Letakkan pelatih pakej dalam kategori sendiri dan keluarkan kategori itu daripada yuran bulanan supaya tiada bayaran berganda.
