How AAU Club Manager invoice + receipt numbering works

Club Admin · Bahasa Melayu below

AAU Club Manager auto-generates invoice and receipt numbers so you don't have to. Understanding the format helps with reconciliation and audit.

Invoice number format

Default pattern: INV-YYYYMMNNNN

Example: INV-20264358 = year 2026, month 07 (July), sequence 4358

Fields: - INV- — configurable prefix (Club Settings → Billing → Invoice prefix) - YYYY — 4-digit year - MM — 2-digit month (the invoice's billing month) - NNNN — auto-incrementing sequence unique per club

Fee-type-specific codes

For clubs that need clearer accounting, invoice numbers can encode fee type: - REG- prefix for registration invoices → REG-20264358 - MTH- for monthly, TRN- for tournament, etc.

Enable in Billing → Settings → Invoice numbering → Include fee code.

Receipt number format

Default: RCP-YYYYMMNNNN — same structure as invoices but sequences independently.

Example: RCP-20261234

Refund receipts use RF- prefix.

Uniqueness + collisions

Never recycled

Even if you delete an invoice, its number is not reused. This protects audit history — deletion + re-creation would create numbering gaps but no ambiguity.

Reset sequence

Not exposed in the UI — sequences increment forever. If you really need to reset (e.g. new fiscal year), contact SuperAdmin.

Custom sequence starting point

When onboarding a club with existing external invoicing history: - Billing → Settings → Invoice numbering → Starting number — set (e.g. 1000 so first AAU Club Manager invoice is INV-20260601001 or however you configure it)
