How to upload an externally-issued certificate

For certificates from external bodies (federation, coaching qualification, first-aid course), upload the PDF/image so it appears on the trainee's or coach's profile alongside AAU Club Manager-issued ones.

When to use

• Coach — Coaching Level 1/2/3, First Aid, Safeguarding, referee qualification
• Trainee — federation badges (FAM, MSSPP), skill grading certificates from external clinics
• Club — annual recognition, accreditation from a governing body

Steps

1. Sidebar → Certificates → Upload External
2. Fill in: - Recipient — search trainee, coach, or member - Certificate title — e.g. Coaching Level 2 (FAM) - Issuing body — e.g. Football Association of Malaysia - Issue date - Expiry date — if applicable (e.g. First Aid expires after 3 years) - Upload file — PDF, JPG, or PNG
3. Optional: - Verification URL — link to the issuing body's own verification system - Certificate number — the external ID - Category — internal tag for organizing
4. Save

Where it appears

• Recipient's profile → Certificates tab (mixed with AAU Club Manager-issued ones)
• Marked with External badge to distinguish
• Downloadable by the recipient any time

Expiry tracking

• AAU Club Manager auto-notifies the coach/trainee + admin 30 days before an external certificate expires
• Expired certificates flagged red on the profile
• Coach with expired mandatory certs (e.g. Safeguarding) blocked from being assigned to new categories until renewed

Verify externally

• The external verification URL (if provided) is shown on the certificate detail — one click to check via the issuing body

Bulk upload

For onboarding many coaches with legacy certificates: - Certificates → Bulk Upload - CSV with columns: recipient email, title, issue date, expiry, file path - ZIP of files uploaded alongside - AAU Club Manager parses + creates records

Cara upload sijil luar

Untuk sijil dari federasi, kursus jurulatih, first aid, dll.

Langkah

1. Menu sisi → Certificates → Upload External
2. Isi: - Penerima (pelatih/jurulatih/ahli) - Tajuk (cth. Coaching Level 2 (FAM)) - Issuing body - Tarikh issue - Tarikh expiry (jika ada) - Upload PDF/JPG/PNG
3. Optional: URL verify luar, cert number, kategori
4. Save

Nampak

Profile → Certificates tab, badge External.

Expiry

Auto-notifikasi 30 hari sebelum. Expired jadi merah. Coach dengan Safeguarding expired diblok assign kategori baru.

Bulk

Certificates → Bulk Upload — CSV + ZIP fail.
