How photo consent for landing display works

Showing coach or trainee photos publicly requires their consent — legal + safeguarding requirement, especially for minors.
When consent is needed
- Coach photo on the public Coaches section of the landing page
- Trainee photo in the Gallery or on tournament pages
- Featuring a specific trainee's story / testimonial
- Athlete profile made public (see Athlete public profile)
How admin requests consent
- Sidebar → Landing → Content → Coaches (or Trainees / Gallery)
- Add the coach / trainee → AAU Club Manager marks the entry
Consent Pending - Consent request email + WhatsApp fires automatically to: - The coach (if it's their photo) - The parent (if child under 18) - The trainee (if adult)
Coach approves / revokes
- Coach receives email with a link
- Click link → sees preview of exactly how / where their photo will appear
- Actions: - Approve — photo goes live on landing - Revoke — photo removed immediately if previously approved
Coaches can revoke consent at any time from My Profile → Consent Preferences.
Parent approves / revokes (for children)
- Parent receives email with link
- Sees preview: which photo, in what context (landing page, gallery, tournament recap, etc.)
- Approve or Revoke
Parents can manage all their children's consent from My Family → Consent Preferences.
Consent expiry
- Consent lasts indefinitely by default
- Configurable per club: Club Settings → Consent Expiry (e.g.
12 months) - After expiry, AAU Club Manager re-requests consent; photos temporarily hidden until re-approved
Bulk consent request
For a batch of new coaches / kids: - Coaches / Trainees list → tick multiple → Bulk Consent Request → AAU Club Manager sends the emails at once
Auto-hide without consent
- Photos without consent are automatically hidden from the public page
- Admin sees a placeholder ("Awaiting consent")
- Once consent granted, photo becomes visible immediately
Audit
Every consent grant / revoke logged with: - Who approved / revoked - Timestamp - Which specific content it applied to - What was shown to them at time of decision

Cara consent foto untuk landing
Bila perlu
- Foto coach pada section Coaches landing
- Foto pelatih dalam Gallery / kejohanan

Admin request
Landing → Content → Coaches / Trainees / Gallery → tambah → status Consent Pending. Email + WhatsApp auto-hantar.
Coach approve / revoke
Coach terima email → klik link → nampak preview → Approve / Revoke.
Revoke bila-bila di My Profile → Consent Preferences.
Ibu bapa (bawah 18)
Sama flow. Uruskan semua anak di My Family → Consent Preferences.
Expiry
Default kekal. Config: Club Settings → Consent Expiry (cth. 12 bulan). Selepas expire, AAU Club Manager re-request.
Bulk
Coaches / Trainees list → tanda → Bulk Consent Request.
Auto-hide
Tanpa consent = auto sembunyi + placeholder Awaiting consent. Sekali approve, terus visible.
Audit
Landing → Consent Audit Log.
Legal
Direka untuk PDPA + GDPR. Rujuk peguam untuk jurisdiction khusus.
